DO & CO opened a brand new, state of the art Gourmet Kitchen in Redondo Beach, Los Angeles (close to Los Angeles International Airport) and created many job opportunities. We are looking for an

Administrative Assistant

Responsibilities

1) Front Desk

  • Welcome and greet clients, applicants and guests
  • Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations
  • Ensure all guests fill out the relevant guest paperwork and questionnaires, as needed
  • Manage incoming calls and mail, answer queries and directing calls as well as mail to different employees/departments
  • Distribute Mail and Invoices in house
  • Maintenance of important keys
  • Organize outgoing mail and mail/package pick up, maintain FedEx and USPS inventory
  • Stationary: Keep track of stationary needed and process staples orders
  • Issue and manage company sim cards and cell phones
  • Update and send our management contact list at the beginning of each month

2) Human Resources Tasks

  • Assist Human Resources Department with screening resumes and scheduling applicants for interviews
  • Call Outs: Keep Track of Employee Call Outs in Excel file.
  • Discipline: Keep Track of employee Discipline in Excel File.
  • ID Cards: Create ID cards for new hires
  • Time Clock: Enroll new hires in time clock
  • Maintain all filing systems including; employee files, I-9 binders, and badging files.
  • Manage inventory levels for all employee uniforms. Maintain par levels.

Administration:

  • Ensure enough new hire packets and applications are available. Create these packets as needed
  • Ensure key forms (PTO, change form, direct deposit, handbooks, etc) are available and print/replenish as needed.
  • Give new hire packets to trials/new hires and help them complete all forms.
  • Proof read each packet once completed to ensure trials/new hires have not missed anything and completed all relevant areas. Make copies of IDs as needed
  • Support with placing ads, as instructed by HR team. Coordinate with newspapers or place ads online

3) Customer Service

  • Hosting and serving guests/customers, serving foods and beverages at in house presentations and small events
  • Order flowers, linens, and any other items needed before presentations
  • Support in setting up and arranging presentation areas as well as support breaking down/tidying areas

4) Accounting

  • Handling and managing petty cash (issuing cash, keeping track and reconciliation of receipts, collecting expense reports, sending overview to Accounting on monthly basis, etc)
  • Support Accounting administratively
  • Review invoices and send to Accounting Department in New York as needed
  • Post invoices into internal systems
  • Contact vendors to inquire about discrepancies, missed payments and when needed

5) Food Tastings & Culinary Support

  • Be present for all daily food tastings within the kitchen
  • Support the food tastings administratively; take notes and pictures of the product presented
  • Enter the notes taken into the Food Tasting Feedback profile and take note of any trends

6) Other:

  • Assist with payroll preparations when needed
  • Assist in projects as requested
  • Prepare analysis as requested

Qualifications

  • Bachelor’s Degree in Business, Communications, or similar field
  • 1-2 years’ experience in a similar role preferred
  • Proven ability to be a resourceful problem-solver
  • Working knowledge of Microsoft Office
  • Strong attention to detail
  • Strong interpersonal and communication skills
  • Excellent time management and organizational skills in order to meet deadlines
  • Strong excel skills as invoices are all prepared in excel
